About the Role

In this role, you will deliver efficient and effective administrative and clerical support for the centre and support the centre’s day-to-day operations. This position is required to work as part of an overall administration support team for the centre.

  • Administrative Support: Perform core administrative functions and provide confidential support for the centre, including word processing, data entry, spreadsheets, photocopying, filing activities, and minute-taking at various meetings.

  • Correspondence & Reports: Assist other staff with administrative issues and support the preparation of memorandums, reports, and general correspondence.

  • Office Technology: Provide support and assistance in the maintenance and use of office communication and technology, including photocopiers, printers, and computers.

  • Reception & Enquiries: Answer general enquiries at reception, direct visitors, screen telephone calls, and redirect enquiries to appropriate areas within the office and Agency.

  • Mail & Records Management: Manage mail, maintain the mail register, archive files/records in accordance with legislative requirements, and ensure record systems/data for the Integrated Offender Management system (IOMs) are accurate and current.

  • Confidentiality & File Security: Maintain filing and recording systems while ensuring strict confidentiality of all documentation. Guarantee file security and restrict access exclusively to relevant staff and approved external agencies.

  • Procurement: Undertake procurement activities to ensure adequate centre resources, including stationery and miscellaneous office supplies.

  • Human Resources & Financial Support: Process human resources paperwork (including timesheets, leave forms, and payroll documentation), conduct banking as required, and perform opening and closing procedures.

Role Suitability & Competencies

  • Basic Administrative & IT Skills: Competent IT skills with proficiency in Microsoft Office software (Word, Excel, PowerPoint), databases, and general office technology, alongside a willingness to learn internal information management databases.

  • Planning & Organising: Strong organizational abilities to ensure tasks are completed within required deadlines and in accordance with all relevant policies and procedures.

  • Problem Solving & Initiative: Ability to apply a range of problem-solving strategies and demonstrate initiative in identifying and solving problems both independently and as part of a team.

  • Communication Skills: Navigation of difficult converstions. Effective listening, oral, and written communication skills to gather, summarize, and clearly communicate information to a wide range of internal and external stakeholders (both in person and over the phone).

  • Discretion & Confidentiality: Proven ability to exercise sound judgement and discretion when handling confidential and sensitive information.

  • Interpersonal Skills: Sound interpersonal skills to collaborate and complete tasks that require input and cooperation from multiple stakeholders.

  • Regulatory Awareness: Ability to acquire knowledge of relevant acts and regulations.

  • Current holder of Class C driver’s licence
